About ICAEW.

ICAEW is a membership organisation that promotes, develops and supports over 182 thousand financial professionals worldwide. They provide qualifications and professional development for their members.

Overview.

Having no in-house procurement team, ICAEW was significantly lacking in resource and expertise to carry out pending procurements. The team was also concerned with the risk factor involved as some of the procurements could have had a serious impact on their reputation and service provided to members.

Having a knowledgeable and experienced team of consultants, eXceeding was engaged to undertake the day-to-day management of a number of projects and, where required, to either lead or assist in the delivery of project components.

Throughout the relationship, we established that they needed additional consultancy expertise in service management, particularly in the execution of service level agreements, key performance indicators, and service credits when establishing or reviewing supplier contracts.

The challenge.

We identified 3 key challenges which needed to be addressed as part of the project:

Due to numerous procurements, in several categories. such as IT, FM, telecoms and e-learning procurements

High-stake procurements
Needing careful management due to the reputational risk and impact on membership exams

The solution.

As part of the initial engagement with eXceeding, a pre-market engagement phase was designed, with a supporting discovery phase. eXceeding evaluated the appropriateness, capability and usability of different global service and delivery offerings. This concluded there were 3 distinct areas where eXceeding could offer significant advice and support.

  1. Running tenders – The approach outlined above (establishing partnerships with the necessary capability) also led to the development and delivery of a formal tender process, enabling ICAEW to ensure consistent, and coherent vendor responses moving forward. A final stage presentation process was also designed and implemented by eXceeding, further enabling ICAEW with their selection process.
  2. Contract renegotiation – Following the initial discovery phase, the most appropriate vendors were approached to renegotiate their incumbent service offering and agreements so they would be better positioned to provide a comprehensive service offer to ICAEW.
  3. Cost reduction – Finally, it was established that general cost-cutting solutions were also necessary to reduce the risk of increased costs throughout the various projects.  eXceeding worked with ICAEW’s chosen partners to ‘value engineer’ the optimal solutions.

Through the provision of a structured, consistently resourced, and highly agile team, eXceeding was able to reduce client risk and costs, ensure project success and provide the flexible support that ICAEW required across a number of projects.

ICAEW now has a level of ongoing, in-house management process which enables them to effectively manage and maintain existing agreements with ongoing support from eXceeding.
