Why a managed procurement service matters

The common thread isn’t the size of your team — it’s the gap between the procurement demands of your organisation and what you currently have in place to meet it.

That gap tends to show up in one of three ways:

  1. No procurement team
Procurement work falls to a director or FD as an additional burden to their core tasks. Senior leaders spend months on tenders and contracts that should be handled by specialists. Typically, no pipeline, governance framework, or benchmarking.
  2. Small procurement team
One or two generalists stretched too thin, covering too many categories without the specialist depth each contract deserves. This tends to lead to a reactive function with little forward planning.
  3. Large procurement team
A well-resourced procurement team manages business as usual effectively, but major programmes, capital investment or new funding can stretch capacity. Flexible procurement support provides the additional resource needed to deliver strategic priorities while maintaining business as usual.

The risks that build up when the gaps aren’t closed

Contracts running past their term

Without a managed pipeline, contracts are not always renewed  — removing your leverage, creating compliance exposure, and impacting value for money.

No defensible audit trail

Can you show documented tender processes, scoring rationale, and governance sign-off for every award? Most can’t.

£

Overpaying without knowing it

Without procurement expertise in the room, you can’t benchmark what good looks like — and suppliers know it.

Every major tender becomes a crisis

FM, construction, IT — without a repeatable process, each contract becomes a one-off scramble instead of a managed project.

Senior time swallowed by procurement

Finance Directors and Corporate Services leads spending months on work that should sit with specialists.

?

Nobody to call when things go wrong

A supplier dispute, a failed tender challenge, an urgent compliance question — and no specialist in house to advise.

The risk of leaving gaps unclosed compounds over time. Procurement failures in the public and regulated sector lead to audit findings, reputational damage, and in some cases legal challenge. Organisations with limited specialist resource are most exposed — and often the last to realise the extent of it.

Frequently asked questions

A procurement health check is a focused review designed to identify immediate risks, gaps and priorities. A procurement maturity assessment examines the wider capability of the procurement function, including strategy, people, processes, governance, systems and performance. The health check is generally the better starting point where there is a specific concern or limited visibility. The maturity assessment is more appropriate where an organisation wants to plan the longer-term development of its procurement function.

Yes. Many clients already have capable procurement employees but need additional capacity, category expertise or support with complex projects. We can work as an extension of the existing team, taking ownership of agreed categories, contracts, tenders or operational activity while your internal colleagues focus on their highest-value priorities.

The service can be provided for a defined period or as an ongoing arrangement. Some organisations need support through a particular period of change, while others require a longer-term procurement capability that can develop with their organisation. The scope and level of support can be reviewed as priorities change.

Our approach is adapted for any organisations that want a more responsive, commercially minded, expert-led procurement service.

The mobilisation timetable depends on the scope, complexity and information available. At the outset, we would always prefer to undertake an assessment to understand the current function. We would then recommend and agree activities that would optimise the function and provide a plan for ongoing BAU procuremtn support. We can usually begin the initial assessment immediately.
