Lenovo contacted eXceeding, when they were faced with a resourcing issue within their bid team. They needed to engage external bid support immediately, to enable to them to turn around a fully compliant and technically complex bid response within a very short timeframe.

We were able to mobilise an onsite team, with the required IT category expertise, in days – even before Lenovo were able approve eXceeding as a supplier, let alone raise a purchase order!
The eXceeding team worked very closely with Lenovo’s highly technical subject matter experts. The teams agreed work streams, responsibilities and delivery deadlines to enable them to produce a high quality, and compliant, bid response by the submission deadline.

The challenge.

We identified 3 key challenges which needed to be addressed as part of the project:

This was a ‘must bid’ framework response so, despite their own bid team being fully committed, Lenovo had no choice but to bid.

Lenovo was faced with extremely tight timescales to find an alternative model to bid and to turn around a high-quality response.

The bid required a high level of technical understanding and there was some concern that they would not find external support with the required category expertise.

The solution.

Working with Lenovo, eXceeding delivered our tried and tested bid response methodology, to ensure Lenovo could produce a compliant bid within the tight deadline.

  1. As soon as we were appointed, we reviewed the bid response documentation and allocated the most appropriate resources. This enabled us to allocate 2 IT category bid experts, who were then onsite at Lenovo’s offices within just a few days.
  2. The eXceeding bid team worked with Lenovo to understand their internal processes and procedures for bid approval and submissions. They then worked collaboratively with the internal bid team, agreeing workstreams, responsibilities and delivery deadlines.
  3. Our team advised on best practice bid response processes and improvements in presentation, as well as helping key stakeholders within Lenovo to fully understand the scoring criteria, to help tailor their responses to the evaluator’s specific requirements.
  4. The end result was a fully compliant bid, turned around within very tight timescales. Without eXceeding’s input Lenovo would have been unable to meet the deadline.
